Instant booking process

VRBO pushes reservations in Channel Manager after performing a quote request and receiving a confirmation that the reservation is possible.

  1. A guest enters the reservation page on the VRBO website and provides the details of a reservation (dates, number of guests etc.).

  2. VRBO checks with Channel Manager if the property is available for the selected dates and number of guests.

  3. Channel Manager confirms if the property is available or not.

  4. If the property is available to rent, the guest completes the reservation process on the VRBO website by providing their personal data.

  5. VRBO inserts a booking to Channel Manager.

Booking request process

It is possible to turn booking requests on or off in VRBO. In case of booking requests, Channel Manager retrieves them from VRBO every 15 minutes.

  1. Guest makes a reservation request in VRBO by clicking Ask Manager a Question.

  2. Channel Manager retrieves the request from VRBO and saves it as a request.

  3. Requests are sent to your email address, registered in the VRBO dashboard.

    Note: When you receive an enquiry from VRBO, the calendar will not be blocked.
    Note: If the guest is willing to book, instruct them to book the stay on the VRBO website by clicking the Book now button. Only then the calendar will be blocked.
  4. The guest enters the reservation funnel on the VRBO website.

  5. The reservation is inserted in Channel Manager.

Modifying a reservation

Reservation modifications refer to changes that can be made to the booked stay, for example its length, number of people included and so on. In VRBO, guests are not allowed to make modifications themselves through the VRBO channel. Instead, you are responsible for changing reservations in your PMS. Then, in order to maintain synchronization, VRBO retrieves all reservations from Channel Manager into their system once a day to check for any updates.

Hence, whenever there is a need to modify a reservation, the guest should request it directly from you.

Cancelling a reservation

Reservations can be also cancelled. Similarly to reservation modifications, in VRBO, guests are not allowed to cancel reservations themselves through the VRBO channel. Instead, it is the you who cancels reservations in your PMS. Then, in order to maintain synchronization, VRBO pulls reservations from Channel Manager into their system once a day to check for any changes.

Hence, whenever there is a need to cancel a reservation, the guest should request it directly from you.

Please, note that cancellations are part of the data tracked by the Best Match algorithm. You are allowed to cancel 10 % of the bookings. It means that in order to cancel 1 booking, first 10 bookings need to be accepted. If more than 10 % is canceled, you will be penalized and all the properties at your account will drop in ranking.
